Heliportugal Runs Its Helicopter Operations on Aviatize — and Automates the Rest Through the API

Portugal’s first private helicopter company uses Aviatize for mission booking types, fuel tracking across its bases, check-in and checkout, and an open REST API that turns daily routines into automations.

Heliportugal was founded in 1982 and holds Air Operator Certificate No. 1 — it was the first private helicopter company in Portugal. From its home at Cascais Municipal Aerodrome in Tires, west of Lisbon, the company flies some of the most demanding work in civil helicopter aviation: aerial firefighting, high-voltage power-line inspection and insulator washing, air ambulance, offshore support for the oil industry, passenger and executive transport, and aerial filming.

The fleet spans eight helicopter types, from the AS350 B2 and B3 single-engine H125-family machines through the EC135, three variants of the AS365 Dauphin and the AW139, up to the Kamov Ka-32A11BC heavy lifter. On firefighting missions the AS350s carry a 1,000-litre Isolair kit or a 900/1,200-litre Bambi Bucket; the Kamov carries a 5,000-litre bucket. According to the company, it has carried more than 130,000 passengers over its history. Maintenance is handled by its sister company Helisuporte, an EASA Part 145 organisation and authorised Airbus Helicopters service centre with two hangars at Cascais.

Filipe Lopes is Heliportugal’s Flight Operations Manager. His job is to keep that mix of aircraft, crews, bases and mission types moving every day — and Aviatize is the system he runs it on.

The Challenge: A Helicopter Operation Doesn’t Fit a Flight-School Template

Most aviation scheduling software was designed around a flight school: one airfield, one kind of booking, a student and an instructor in a training aircraft. A multi-role helicopter operator breaks every one of those assumptions.

A firefighting contract, a power-line inspection, a medevac standby and an executive transfer are not the same booking with a different label. Each has its own crew requirements, its own aircraft configuration, and its own way of being billed. Aircraft and crews work away from the home base for long periods. Fuel is uplifted wherever the mission happens to be, not at a single pump next to the hangar. And the operations team carries a daily administrative load — briefings, status updates, cross-checking one system against another — that grows with every mission type the company adds.

What a helicopter operator needs is a platform that adapts to the operation, rather than one the operation has to work around — and one open enough that the gaps between systems can be closed with automation instead of manual effort.

Booking Types Configured Around Every Mission

In Aviatize, a booking type is not a fixed list someone else decided. Heliportugal configures its booking types around the work it actually flies, and each type carries its own rules: what has to be filled in before the flight can go, who has to approve it, and how it is priced. A charter, an aerial-work sortie, a positioning leg and a maintenance flight can all live on the same schedule without being forced into the same shape.

Because the booking type travels with the flight from the schedule into checkout and then into billing, the classification made by operations at the planning stage is the same one finance sees at invoicing. Aviatize supports per-flight-hour rates and a dedicated per-hour fuel-surcharge rate per aircraft, so rate structures that vary by mission and by helicopter are set up once and applied every time.

Fuel Tracked at Every Base

For a helicopter operator, fuel is not a footnote on an invoice. It decides whether a mission can be flown from where the aircraft is sitting, and it is one of the largest variable costs in the operation. Heliportugal tracks fuel in Aviatize across its bases.

Fuel is captured as part of the flight itself. At checkout, crews record the departure and arrival fuel and the fuel uplifted — “Fuel Uplift” and “Fuel Uplift After” — against the aircraft that flew. From those entries Aviatize keeps each aircraft’s fuel level current and shows it as a colour-coded indicator on the schedule and on the aircraft page, updated automatically after every checkout. The person planning tomorrow’s sortie can see at a glance which helicopter is ready to go and which needs fuel first.

Bases are first-class in Aviatize. Each location has its own settings, its own saved schedule filters and its own balances, and every aircraft belongs to a home location — a booking that tries to use an aircraft from a different location is blocked, so the schedule cannot quietly promise a helicopter that is somewhere else. Defects reported on the ramp notify the technical managers assigned to that same location. Fuel reimbursements, for crews who pay for an uplift away from base, run through an approval workflow and arrive in billing as their own line item.

Check-In, Checkout and a Live Fleet Picture

Every flight at Heliportugal moves through the same three steps in Aviatize: the booking, the check-in, and the checkout. Check-in releases the aircraft to the crew; checkout closes the flight with its times, fuel and counters. Aviatize supports custom aircraft counters with decimal values and calculates the delta automatically at checkout — useful for fuel-flow meters and other equipment installed on a working helicopter.

Operators that require a pre-flight briefing can make it part of the same flow: a briefing button appears as the primary action in the booking, saves as the crew types, and holds check-in until it has been completed. Authorised roles can perform a checkout without a prior check-in when the operation demands it, and a check-in made in error can be undone without cancelling the flight.

Because the closed flight is the record, everything downstream reads from it: the aircraft’s hours and fuel state, the maintenance forecast, the crew’s logbooks and the invoice. Nothing is copied across by hand.

The API: Turning Daily Routines Into Automations

Ask Filipe what sets Aviatize apart and he goes straight to the API. In his review of Aviatize on Capterra he wrote: “As a Flight Operations Manager for Heliportugal, a helicopter operator, I find Aviatize to be a very practical and user-friendly solution for managing our daily operations. One of those routines runs every morning. Heliportugal uses n8n, the open-source workflow automation platform, to pull together the day’s briefing material and post it into Aviatize as an announcement through the API. When crews log in, the morning briefing is already waiting on their dashboard — nobody had to assemble and upload it by hand.

That is the pattern the Aviatize REST API is designed for. It is a standard REST API returning JSON, documented in interactive Swagger docs, with token-based authentication and API keys issued per integration with their own permissions — so an automation can be given exactly the access it needs and revoked without touching anything else. Bookings, aircraft, customers, invoices and training records are all exposed through the API, which means an operator can connect Aviatize to weather and NOTAM sources, to its accounting or ERP, to customer-facing tools, or to an internal dashboard. Responses can be gzip-compressed for heavier integrations, and API access is included on every Aviatize plan.

A Platform That Adapts to the Operation
