What an Aviation QMS Does — and Why Spreadsheets Stop Working

An aviation Quality Management System is the formal framework that ensures an organisation consistently meets the requirements of its approval scope, regulator, and customers. Built around four core processes — Quality Policy, Quality Control, Quality Assurance, and Quality Improvement — it sits at the heart of every EASA Part-ORA approved training organisation, every Part 145 maintenance organisation, every CAMO, and every AOC holder.

The QMS / SMS distinction matters. QMS asks are we doing what we said we'd do, and does what we said still make sense? SMS asks what could go wrong, and how are we preventing it? A maintenance organisation tracking that an AD was complied with within the calendar window is doing QMS work; analysing why component removal rates spiked is doing SMS work. EASA Part-ORA.GEN.200 explicitly bundles the two into one Management System — and Aviatize is built that way too.

The threshold where spreadsheets stop working is somewhere around 50 students or 10 aircraft — anything above that, and the manual audit-planning, finding-tracking, CAP-follow-up, and document-revision-control reaches a complexity where audit findings start getting missed. The Compliance Monitoring Manager (CMM) running the QMS on email, shared drives, and a Word-document audit log is the most common state at mid-market ATOs — and it is also where regulator findings consistently land.

Inside the Aviatize Aviation QMS

From audit planning to corrective-action verification, the QMS module covers the four Part-ORA Management System processes end to end — integrated with the operational records the audits actually reference.

Internal Audit Programme

Plan audits by scope, assign auditors, capture findings against the audited area, and track every finding from open through verified-closed. Audit calendar surfaces upcoming audits; missed audits surface as overdue.

Corrective Action Plan (CAP) Workflow

Every finding becomes a CAP with root-cause analysis, action assignment, due date, evidence of completion, and verification. Findings linked to operational records — instructor evaluations, work orders, training events — so the underlying activity is one click away.

Document Control & Mandatory Reading

Operations Manuals, Training Manuals, Compliance Monitoring Manuals, MOEs, and procedure documents with full revision history. New revisions auto-distribute to affected personnel; mandatory-reading acknowledgement captures timestamp evidence the regulator expects to see.

Management Review Reporting

Quarterly and annual management review reports aggregate findings, CAP status, audit-completion rates, document acknowledgement rates, and recurring-finding trends — the data the Accountable Manager presents at management review meetings.

Audit-Trail Export

When EASA, FAA, UK CAA, CASA, SACAA, or TCCA surveillance visits ask for QMS records, the audit-export function produces a regulator-formatted bundle in seconds. Every finding, CAP, document revision, and acknowledgement record is timestamped, attributable, and exportable.

Pairs with SMS for Full Part-ORA Scope

Aviation safety management lives alongside QMS in Aviatize — hazard register, safety risk assessment, occurrence reporting, safety performance indicators. Together they satisfy the EASA Part-ORA.GEN.200 Management System requirement that bundles QMS and SMS.

Built for Every Aviation Approval Scope

The same QMS architecture serves training, maintenance, and operations approvals — with the framework support each regulator expects.

EASA ATOs
Part-ORA Management System, Part-FCL training, CBTA/EBT integration.
Part 145 MROs
Maintenance Organisation Exposition control, CRS workflow, work-order audit trail.
Part-CAO / CAMO
Continuing airworthiness oversight, ARC issue workflow, AD compliance audit.
AOC Holders
Part-ORO Management System, ECCAIRS occurrence reporting, OpsSpecs control.

QMS is one of several compliance and safety modules in the Aviatize platform.

Frequently asked questions

What is an aviation Quality Management System (QMS)?

An aviation QMS is the formal management framework that ensures an aviation organisation consistently meets the requirements of its approval scope, regulator, and customers. Built around four core processes — Quality Policy, Quality Control, Quality Assurance, and Quality Improvement — it covers internal audits, corrective-action tracking, document revision control, and management review. EASA Part-ORA.GEN.200 requires a Management System encompassing both QMS and SMS for ATOs; Part-145.A.65 requires a quality system for maintenance organisations; Part-ORO.GEN.200 mandates a management system for AOC holders.

How does aviation QMS differ from SMS?

QMS asks 'are we doing what we said we'd do, and does what we said still make sense?' SMS asks 'what could go wrong, and how are we preventing it?' A maintenance organisation tracking that an Airworthiness Directive was complied with within the calendar window is doing QMS work; analysing why component removal rates spiked last quarter is doing SMS work. Modern aviation regulations integrate both — EASA Part-ORA.GEN.200 explicitly bundles them — but the underlying disciplines stay distinct.

Who runs the QMS at an ATO or Part 145 organisation?

The Compliance Monitoring Manager (CMM) — sometimes a dedicated role, sometimes a part-time responsibility of the Head of Training or Accountable Manager — is responsible for the internal-audit programme, corrective-action follow-up, and periodic management review. For larger organisations a dedicated Quality Manager carries the function; smaller operations consolidate the role.

Does Aviatize integrate QMS with training and operational records?

Yes — and that is the point. Because Aviatize is the platform of record for training, scheduling, and operations alongside compliance, QMS audit data has a direct line to the underlying activity records. An audit finding on instructor evaluations links to the instructor records and the lessons audited; a maintenance audit finding links to the work orders and the parts records. Compliance Monitoring Managers no longer reconcile findings against a separate operational system — the audit and the activity live in the same database.

How does the document control workflow work?

Aviatize Document Management supports controlled revision history (every previous version retrievable), role-based and location-based distribution, mandatory-reading acknowledgement workflow with timestamp capture, and audit-trail export. Operations Manuals, Training Manuals, Compliance Monitoring Manuals, Maintenance Organisation Expositions, and procedure documents all sit under the same revision-control architecture with the personnel acknowledgement records the regulator expects to see during oversight.

How much does aviation QMS software cost?

Aviation QMS capability is included in the Aviatize Plus plan at $59 per aircraft per month (annual billing) — alongside KPI reporting, compliance and auditing, safety management, and open API access. The Core plan at $29 per aircraft per month covers scheduling, billing, training, maintenance tracking, and document management but does not include the QMS / audit / corrective-action workflows. All plans include unlimited users. A 30-day guided trial is available after a 30-minute fit call so we tailor it to your school.
