Frequently asked questions
What is flying club management software?
Flying club management software — also called aero club software, aircraft club software, or flying club booking software depending on the region — is a digital platform that handles aircraft booking, member billing, payment processing, and club administration. It replaces spreadsheets, paper logs, and disconnected tools with one system where members self-serve and club administrators maintain full oversight.
Is there a difference between flying club software and aero club software?
No — the terms are interchangeable. 'Flying club' is the common term in the US and Canada, 'aero club' is more common in the UK, Australia, New Zealand, and continental Europe (Aéro-Club de France, German Aero Club / DAeC, etc.). Aviatize serves clubs of both naming traditions, with localization for currencies, units, time formats, and regional regulatory frameworks. Aircraft partnerships and equity-shared aircraft groups also use the same module.
How does Aviatize help flying clubs?
Aviatize gives flying club members 24/7 self-service booking via web or mobile app. Billing is automated based on Hobbs time, with support for membership fees, packages, and hourly rates. Payments are processed through Stripe or Clover. Club managers get real-time dashboards showing utilization, revenue, and member activity.
Can Aviatize handle multiple club locations?
Yes. Aviatize supports multi-location clubs with separate scheduling, billing, and reporting per airfield while maintaining centralized oversight. Members can book across locations from a single account.
Does Aviatize integrate with accounting software?
Yes — and the integration is real-time, not a nightly batch. Aviatize syncs every invoice, payment, credit memo, and member event to QuickBooks Online, Sage Intacct, or Exact Online the moment it happens, with line-item GL mapping (aircraft revenue, instructor revenue, landing fees, fuel surcharges as separate accounts). The same engine extends on request to Xero (strong in UK, AU, NZ, US clubs), FreshBooks (small US/Canadian clubs), MYOB (AU/NZ aero clubs), Zoho Books, and NetSuite. PEPPOL e-invoicing is also supported for EU compliance.
Does the integration handle deferred revenue for prepaid block-hour packages?
Yes. When a member buys a prepaid block-hour package or signs a multi-phase training contract, the value books to a deferred revenue account in your accounting platform. Aviatize recognizes revenue out of deferred and into the appropriate revenue accounts as flights are flown — not when the package is sold. The Aviatize Contract Management module manages allocations, payment schemes, and overage rates for clubs that run structured training programs alongside their member operation.
What about chase plane flights, maintenance flights, and DNF requests?
All routed automatically to the correct internal accounts in your accounting platform. Chase plane and maintenance flights are not member-billable. Did-not-fly (DNF) requests follow the club's no-show / late-cancel policy. Fuel reimbursements are tracked as separate line items. The treasurer or accounting volunteer does not need to manually reclassify any of these — Aviatize knows what each event is because the operations module knows.
How does the billing handle member fees, usage charges, and fuel reimbursements together?
Each invoice arrives in your accounting platform with separate line items: monthly dues, usage charges per Hobbs hour, fuel reimbursements, late fees, package drawdown — each mapped to its own GL account. Run a P&L by aircraft, by member, by booking type, or by location with no manual reclassification. This is the most detailed billing system on the market for flying clubs of any size.
How much does flying club software cost?
Aviatize pricing starts at $29 per aircraft per month with unlimited members and users. Unlike per-member pricing models, your cost stays predictable as your club grows. Billing, scheduling, training, maintenance, contract management, and accounting integration are all included — no per-transaction sync fees, no separate accounting integration license. A 30-day guided trial is available after a 30-minute fit call so we tailor it to your school.
