Our customers are flight schools, airplane owners, charter companies, and maintenance shops. They use our intuitive all-in-one software platforms to minimize their administrative work and to maximize the one thing that matters, to fly more with peace of mind.  We make our customers succeed in getting more done, with less effort.

Aviatize, a leading software company in the general aviation industry is looking to hire, for its Flagship campus in Phoenix, a full time Office Manager.

Responsibilities

  • You will oversee all office activities and operations to secure efficiency as well as compliance with company policies.
  • You also oversee all daily office activities; manage the reception, answer and direct calls, distribute incoming mail, coordinate deliveries, and other office inventories, assist the teams with various requests (meetings, catering etc).
  • You coordinate events (e.g. meetings, picnics, birthday celebrations, lunches) and travel arrangements.
  • You manage various web applications used within the company.
  • You manage vendor selection, negotiations, and relations with service providers and landlords.
  • You ensure office financial objectives are met by tracking annual budget and planning expenditures.
  • You ensure all items are invoiced correctly and paid on time.
  • You provide a clean and safe working environment by ensuring office cleanliness and coordinating maintenance and repairs.
  • You lead office culture.
  • You manage access security and space planning.
  • You coordinate and maintain office supply inventory.
  • You ensure required reporting and administration such as payroll, taxes etc. 
  • You oversee our new office set up, engage service providers such as cleaning, HVAC service, groceries & coffee vendors, pest control, etc., and ensure a smooth transition of the teams into their new space.
  • You maintain a welcoming atmosphere as our culture representative.
  • You are the first person to greet visitors.

Requirements

  • Minimum of 3 years in office administrative or customer service-oriented operational role.
  • Excellent organizational skills with the ability to calmly juggle competing priorities and manage workflow.
  • Strong interpersonal skills, demonstrated ability to interface with guests, other administrative assistants, and team members of all levels.
  • Great computer skills and experience with Google suite, Monday.com and other project management software.
  • Ability to motivate and lead self and others to deliver results in a collaborative environment.
  • Strong teamwork and project-related skills, ensuring open communication channels across multiple functions and departments.
  • A high degree of professionalism and ability to maintain confidentiality.
  • Impeccable attention to detail.
  • Ideally you have experience in the aviation industry.
  • Above all, you are curious, creative, social, and willing to learn!
